Where data is stored

Core application data is stored on servers in the European Union (EU/EEA region). The database runs on PostgreSQL with encrypted connection. Files (documents, attachments) are stored separately with secured access.

Email delivery is provided by Postmark service (USA), certified under the EU-U.S. Data Privacy Framework.

Data ownership

Data belongs to your organization. The verwalt.ch platform is technical infrastructure — we do not acquire ownership rights to your content.

  • Documents, votes and records belong to the organization that created them
  • Personal data belongs to individual users
  • The platform operator only processes data based on a contract (DPA)

Details are governed by Terms of use and Data processing agreement.

Export and exit

You can download all data at any time:

  • Personal exporteach user can export their data in Profile (GDPR Art. 20)
  • Organization exportadministrator can export members, votes, audit records and timeline in Administration → Exports section

Formats: JSON (personal), CSV and PDF (organization).

No vendor lock-in. We do not charge exit fees. You can delete the account and export data. For paid plans, access may run until the end of the paid period; cancellation/refunds follow the Terms and the payment provider settings.

What happens if the project ends

We understand this is a crucial question. Here is our plan and target:

  1. Advance noticeIn case of service termination, we aim to notify all administrators by email at least 60 days in advance.
  2. Export windowThroughout the notice period, we aim to keep the system functional, including export of all data.
  3. Audit recordsWe aim to keep records of votes and decisions available for download until the last day of service.

This commitment is part of the Data processing agreements (DPA), which covers return or deletion of data typically within 60 days of termination.

Backups

  • Database is backed up regularly (typically daily) with a target retention of 30 days
  • Files are stored redundantly (per current configuration)
  • Backups are encrypted and stored separately from production data (per current configuration)

Usual response time: 1–2 business days. In case of urgent issues, we strive to respond within 24 hours.

What we consider a critical incident:

  • Unavailability of the entire system
  • Inability to vote in an ongoing vote with deadline
  • Suspicion of unauthorized data access

We inform about planned maintenance via banner in the application at least 24 hours in advance. Verwalt.ch currently does not provide SLA with guaranteed availability. For organizations requiring SLA, we offer individual solutions within the Plus plan — contact us.
